Administration Committee Minutes
For Meeting: December 13, 2001
- Members in attendance: Jay McDermott, Dick Kline, Harry Kirwan, Mil and Norm Buckley, Susan Nicholson, Martha Stuber, Martha Davis, Kathi Ley, Jim Fehr and Tony Krainski.
- Jay called the meeting to order and opened with a prayer. Minutes of the 11/8/01 meeting were approved as submitted.
- PARISH PASTORAL COUNCIL - Although the audit report was on the agenda, it was delayed until next month. Epiphany could be a model for the Archdiocese when it comes to our Audit Report. 1) Selection/Election process - The size of PPC will remain at 18 members. 2) Title will be Chairperson as opposed to President which conjures up the thought of authority.
- FINANCE - Harry reviewed the financials for November sighting stewardship up $22,000 for the year which is up from $18,000 last year. Youth Formation had an error last month which has been corrected. LG & E bill was substantially under budget and seems this trend will continue with the lowering of rates for the next quarter. Rented a chipper this year which was highly successful during the grounds clean-up. Sturdy boxes were purchased for storage in the Art & Environment Room (i.e. music, etc.). No block grants have been paid at this time.
- CAPITAL EXPENDITURES - The HVAC units on the Community Center ( 3 of 8 units) and the shop units have been replaced and are operational. This was the big expense this month that was not in the budget. Worship Center track lighting is in place.
- GROUNDS - Jim has a request from Scott Crawford regarding an additional light on the new walkway and the mud and holes at the end of the gravel parking lot. It was agreed at this time that no additional light was needed on the walkway. Committee agreed to proceed with laying new gravel at a cost of about $1,000. 10 new trees have been planted. A few changes need to be implemented for fall clean-up day. Suggestions: later date (watch weather), better planning, change starting time to 8:30 a.m., need to have project directors, serve lunch later. The main parking lot will need resurfacing soon. There is structural damage in places that cannot be mended anymore. Cost to do the job correctly will be approximately $40,000. The lack of handicapped parking spaces was discussed.
- FACILITIES MANAGEMENT & PLANNING - When Epiphany House roof was replaced (final cost $21,200), we incurred some damage to the kitchen ceiling. This was fixed and paid for by Harpring. It was suggested that carpet for the Community Center not be done at this time due to the other unforeseen capital expenditures. However, the nursery area needs immediate attention. Suggestion was made to look into vinyl. Still looking into gutter replacement on Epiphany House. Discussion was held regarding the new stovetop/countertop for the Community Center kitchen. Suggestion was made to purchase a larger stovetop (which is needed and would be more functional) with its placement it would cover the burn spot eliminating replacement of the countertop. The Parish Nurse position has been filled. Dick is looking into converting the butler pantry between the kitchen and Fr. Bill's office to an office for the nurse.
- SALARY & BENEFITS REVIEW COMMITTEE - 2nd meeting has been held and notices are being sent to several churches regarding salary comps. A survey has been developed regarding benefits, particularly health insurance.
Admin. Committee was asked and Jay will take the survey to PPC to obtain information from member employers.
- OTHER BUSINESS - 1) Computer Issues - server installation has begun. 2) Risograph copier is on its way out. Need to look into replacement. 3) Traffic pattern still needs attention - Fr. Bill needs to address again. Do we need someone directing traffic until pattern is established?
- Meeting was closed with a prayer. Next meeting will be held January 10, 2002.
