Administration Committee Minutes
For Meeting: January 11, 2002
- Members in attendance: Jay McDermott, Dick Kline, Harry Kirwan, Martha Stuber, Martha Davis, Kathi Ley, Jim Fehr, Jim Parr, Tom Hayes and Ralph Younker.
- Jay called the meeting to order and opened with a prayer. Minutes of the 12/13/01 meeting were approved as submitted.
- PARISH PASTORAL COUNCIL - Laurie Atwell presented the Audit Report. PPC recognized that the Administration Committee is doing a fine job.
1) Selection/Election process - Elections will be held in May. PPC will look into improving this process.
2) Reed Martin, Epiphany Boy Scout Troop 71, spoke on their behalf and wants to be sure communication is ongoing.
3) Parish Nurse - Pam Lynch will be available between liturgies this Sunday to meet everyone and explain her role.
- FINANCE - Harry reviewed the financials for December sighting stewardship is below budget for the month. Christmas collection was up 10% this year. Miscellaneous income was increased by $7,500, a gift from a non-parishioner. Final CSA payment has been made. LG & E bill is still significantly under budget.
- CAPITAL EXPENDITURES - Additional expenses will be coming from the Epiphany House roof repair.
- GROUNDS - Eight loads of new stone have been laid in the gravel parking lot - $972.00 was the final cost. Guidelines for memorials, drafted by Fr. Bill, was discussed. Many suggestions were made and will be taken back for revision.
- FACILITIES MANAGEMENT & PLANNING - Laurie Atwell polled 10 families that use the nursery regarding the carpet vs. vinyl issue. Of the five families responding, carpet is preferred. We will proceed with carpeting the nursery only at this time with consideration given to upgrading the carpet and padding. There was discussion about using a saran type carpet protector during functions serving food from this area. Work is being done on the office for the parish nurse. Epiphany House kitchen ceiling has been repaired and painted.
- SALARY & BENEFITS REVIEW COMMITTEE - In Susan's absence Martha noted that the surveys have been distributed but not many are being returned.
- OTHER BUSINESS - 1) Mother of Good Counsel purchased 30 Worship Center chairs for $2,700. These chairs have never been used and were stored in the Epiphany House basement. New tables for the Community Center will be needed soon.
2) Study Day - Direction is not changing, mission is very simple: monthly financial review, grounds/facilities maintenance and upkeep. Accomplishments - HVAC replacement, installation of track lighting, completed painting of Epiphany House, updated computer system. Initiatives - restructured budget process, developed the salary & benefits committee, conduct the annual audit, attempt to include new members on Administration Committee, should a youth representative be included?
3) Martha Davis, speaking on behalf of the Environmental Concerns Committee, brought the idea of using compact fluorescent light bulbs in place of regular indoor/outdoor light bulbs. They are much more efficient and longer lasting. Price range is $7/$15 depending on wattage. 4) Due to the rising cost in postage, the minutes and agenda for the Administration Committee will now be posted on the website. A reminder email or phone call will be made to each member prior to the meeting.
- Meeting was closed with a prayer. Next meeting will be held February 14, 2002.
