Administration Committee Minutes

For Meeting: February 14, 2002

  • Members in attendance: Jay McDermott, Mil Buckley, Norm Buckley, Ralph Younker, Jim Fehr, Susan Nicholson, Harry Kirwan, Martha Stuber and Fr. Bill
  • Jay called the meeting to order and opened with a prayer. Minutes of the January 11, 2002 meeting were approved as submitted.
  • It was noted that the agenda would be revised since Mary Bratton, parishioner guest would not be attending the meeting until next month.
  • PARISH PASTORAL COUNCIL - The staff planning weekend meeting was inspirational and strategic as opposed to 'nuts and bolts'. Time was spent reviewing the strategic plan. Because many action items of the strategic plan had been accomplished the group was able to clean it up a bit so that it is more strategic and longer term in nature. New initiatives will be evaluated to make sure they are in line with the strategic plan.
  • FINANCE - Harry reviewed the January financials noting that collections were up for the month due to year-end stock donations that came in January instead of December. The Christmas collection was outstanding at over $14 thousand. Payroll expense reflects the addition of the parish nurse. Utilities continue under budget; a high speed copier was purchased to replace the one that 'died', and health insurance premiums increased 27%. The December bank reconciliation was reviewed. Martha reported that a notice was received from the IRS assessing a penalty for the payroll taxes that were not deposited due to the bank's error. She provided a written response to the notice with the details of the bank's error including contact names.
  • GROUNDS - Jim recommended renting a rototiller to repair the ground over the waterline. After rototilling again in the fall, it should be ready to be seeded. Jim also recommended renting a chipper again on clean up day. The committee agreed with both recommendations.
  • FACILITIES MANAGEMENT & PLANNING - Carpet for the nursery has been ordered; colors and pattern was selected to match the color of the most common stains and dirt. The office for the parish nurse is finished and is quite nice. The office walls in Sr. Chris's office are buckling out and need attention.
  • SALARY & BENEFITS REVIEW COMMITTEE - Susan reported that committee's report was just about complete and would like Fr. Bill to take a look at it before it is finalized. The committee found benefits to be commendable. The report includes an updated salary structure and a recommendation to change one benefit.
  • NEW INITIATIVES - Jay discussed the potential budget impact of several new initiatives and capital budget items.
  • OTHER BUSINESS - 1) Martha Davis noted that the procedure for having the acolyte get back up the main aisle after liturgy to pick up the collection was awkward and wondered if it could be revisited.
    2) Father Bill agreed with the suggestions made to the Memorial Gifts Policy.
    3) 20 florescent light bulbs have been installed as replacements. Dates have been put on them to test their life.
